We’re looking for a strategic and detail-oriented Business Manager to oversee financial operations, manage client billing, track expenses, and keep the studio on track to meet its financial goals. This role requires strong organization, financial expertise, and a proactive mindset to optimize business operations and support our growth. The ideal candidate is an excellent communicator who can collaborate seamlessly with the owner, team, and clients. Financial Management & Accounting:
• Oversee bookkeeping, review all expenses with the owner, and maintain accurate financial records.
• Manage bi-weekly payroll and 401k disbursements.
• Handle client invoicing, reconciliation, sales tax reports, and monthly financial statements.
• Ensure accurate billing, track retainers, and reconcile purchases with client payments.
• Work with the external controller on financial forecasting and reporting.
• Maintain cash flow and billing spreadsheets and oversee financial planning calendars.
• Process quarterly income tax payments with the owner.
Operational & Administrative Support:
• Manage lease agreements, office expenses, and vendor payments.
• Renew and maintain insurance policies (health, worker’s comp, liability, etc.).
• Work closely with the Executive Assistant to optimize insurance, software, and other business expenses.
• Assist in purchasing and tracking expenses for client projects.
Human Resources & Compliance:
• Maintain staff records, transit benefits, and insurance policies.
• Update employee handbooks and ensure compliance with company policies.
• Collaborate with the team to develop the annual budget.
Strategic & Business Growth:
• Identify opportunities to optimize costs and increase profitability.
• Assist the Owner and Studio Director in potential client work and business development.
• Provide strategic financial insights to guide decision-making.
• 3+ years of experience in business management, finance, or operations (preferably in interior design or a creative industry).
• Required to be on-site at least 3 days per week.
• Excellent analytical, problem-solving, and communication skills, highly organized, detail-oriented, collaborative and proactive.
• Tech-savvy with expertise in MS Office, G-Suite, financial and project management tools, and Enterprise Planning Software such as Design Manager, Studio Designer, and NetSuite
